Markaryd Municipality

An onboarding process that both creates reassurance and saves time.

Who is Markaryd Municipality?

Markaryd Municipality is a nature-rich Småland border region where people and businesses thrive in a creative and sustainable environment. The municipality has approximately 10,000 inhabitants and nearly 900 employees.

When Markaryd Municipality reviewed their systematic work environment management, the need became clear: The introduction of new employees needed to be more consistent, accessible, and quality-assured.

Much of the content already existed – but was scattered across documents, the intranet, folders and systems. With the help of InfoCaption, Markaryd Municipality has gathered existing introductory materials into a single place and built a cohesive onboarding package. Material that was previously scattered and difficult to find is now structured into a precise flow and supplemented with new guides where needed.

The onboarding package includes introductory material, mandatory training courses, checklists, processes and short guides that give new employees a reassuring start – while managers receive clear support in their day-to-day work. The material is designed to be overarching, but can easily be supplemented with department-specific content, which several departments have done.

Fewer questions and greater reassurance

The onboarding process begins even before the first working day and remains as support long afterwards. New employees can take part in the material at their own pace and return when questions arise. This means that the number of recurring questions to managers and HR decreases both during and after onboarding. At the same time, reassurance is provided to employees who quickly gain an overview of the organisation, its ways of working and routines.

Follow-up that makes a difference

With InfoCaption’s follow-up function, included in Train, managers can monitor how onboarding and mandatory training courses are completed. These include training in fire safety, GDPR, and security awareness, which are critical for follow-up and for providing support if an employee gets stuck.

Employees can also gain an overview of their progress, including which training courses remain to be completed and which have already been completed.

An initiative that creates long-term value

Through its work to develop the onboarding process and expand employee support, effects are achieved that create long-term value from many different perspectives:

• The new employee receives a reassuring start and needs to spend less time searching for information.
• Managers receive relief.
• Dependency on individuals decreases.
• Quality assurance by ensuring that the employee has taken part in critical content.

Having the onboarding process defined makes it easier to adjust and refine the process and guides change in the way of working.

Quote We went from lacking shared introductory material to having an onboarding process that is clear, accessible, and easy to follow up on. It has saved time for our managers and created a more reassuring start for new employees.”

— Josefin Pettersson, Labour Market Coordinator at Markaryd Municipality
