User-friendly tool directly in the workflow

At Nordlandssykehuset, healthcare staff use the electronic patient record DIPS Arena as their primary work tool. In the role of a hospital employee, structure is important - it is a prerequisite for good healthcare. A nurse is accustomed to working within a specific workflow from the moment the patient arrives until discharge. When launching the newly developed version of the patient record, DIPS Arena, it was important to clarify all changes in the workflow.

Therefore, InfoCaption was implemented as a tool to support hospital staff directly in their new workflow. The launch was an overnight success, and for the first time ever for DIPS, 3000 users made a 100% digital transition. With context-sensitive help and 14 online specialists, instead of around 500 super-users, employees did just fine without traditional classroom training.

With context-sensitive help, InfoCaption guides end-users in each unique situation they find themselves in. By providing the platform with a tool directly in the view where the end-user is located, it is easy to support the workflow of employees. The workplace, work role, and the user's location in DIPS Arena provide the basis for retrieving relevant guides. The information is also easier to access when it is available where and when the user needs it, for example, when working with planning, referrals or orders.

The path to self-help is significantly shorter when the user does not need to turn to an external support portal. In a maximum of one minute, the user should be able to look through a relevant step-by-step guide that is easy to follow. Then you can get on with your work without delay.

Preboarding - a safe start before day one

Approximately two weeks before the start of employment, candidates are given access to a digital preboarding portal via InfoCaption. This introduction is fully digital and aims to create confidence, engagement and recognition before the first day of work. With the help of guides, quizzes and educational material, the prospective employee gets an insight into the company's culture, routines and tools. This step has been shown to reduce start-up stress and ease the transition to the new role - especially in cases where the pace is fast from day one.

Effective onboarding customised to role and needs

Once the new employee is in place, onboarding continues in a mixed format - digital and physical depending on the role. For example, a lift technician receives a hands-on briefing on the slopes, while a customer service representative follows digital instructions on systems and processes. InfoCaption is used to make training available for tasks such as ski pass management, returns and equipment. These also serve as ongoing support in everyday work. The platform is also used to gather niche training in specialised portals, such as the one for Valle - SkiStar's mascot - where staff can find everything about activities, costumes and communication, regardless of where they work.

By centralising materials and providing accessible learning, it has increased engagement among both candidates and employees and reduced HR administration. In the days following the launch, over 5000 quick guides were shown, but only around 1000 chat requests were received, indicating the enormous support the context-sensitive help provided during implementation.

With InfoCaption, Nordlandssykehuset has been able to introduce a completely new system to the employees in a user-friendly way. By moving from traditional learning to an innovative platform, a better structure of learning material is implemented, and learning is streamlined in the new system.
