Making onboarding easier to structure and navigate
Länsförsäkringar faced the challenge of making information for new employees easier to structure, gather and use throughout the onboarding process. With a large organisation and many different roles, it was important to create a consistent and engaging introduction that gives new employees the knowledge they need to get started in their role.
Using the InfoCaption platform, Länsförsäkringar was able to develop a digital onboarding process that is easy to access and adapted to different areas of the organisation. With interactive guides, instructional videos and digital knowledge tests, new employees can be guided to information in an engaging and personalised way.
An onboarding plan in three phases
The onboarding is structured in three phases, with each phase connected to overall goals and knowledge requirements.
Phase 1 - First week
A theoretical phase focusing on information, governing documents, training and welcoming the employee while creating a sense of who Länsförsäkringar are.
Phase 2 - First month
This phase includes theoretical information about routines, support functions and the systems the employee will work in, as well as practical activities where the employee works alongside colleagues to settle into the role.
Phase 3 - Months two to six
A more personalised phase based on the employee’s role and whether they are an internal or external recruit. At the end of this phase, the new employee also has the opportunity to reflect, revisit information and ask questions.
Information and follow-up for managers
It is important that managers understand what the new employee’s onboarding plan looks like and what information it contains, so they can provide support and guidance.
On the manager page, there is a short instructional video and a guide with clear instructions about the different stages the employee goes through. This helps managers get a complete overview and answer questions from the new employee.
Through the statistics page, managers can easily get an overview of each employee’s individual progress and see how far they have progressed through the different activities.
A single course portal
To make it easier for employees to find information, Länsförsäkringar has chosen to package routines and courses in a course portal. Employees can return to the portal to repeat information or search for knowledge, even after the onboarding plan has been completed.
